TherapyWorks Neurodiversity Services and Counselling Associates is seeking an experienced, BC Registered Occupational Therapist for our growing practice with, children, youth and their families. Occasionally, the OT might be supporting young adult transitions, but there is opportunity to grow the role to other patient populations.​​We are open to a therapist that would like to work part-time, full-time or casual. At least one year experience working with a paediatric population. Experience working with neurodivergent children and youth is an asset and forms the primary caseload currently.Experience facilitating groups is an assetTrauma informed practice is an assetMust be comfortable working independently and part of a collaborative teamMust have working knowledge of privacy legislation, confidentiality and duty to report requirements.Must use approaches that are not aligned with ABA (applied behavioural analysis), including consequences and rewards. ADMINISTRATIVE / PERSONAL ASSISTANT We are looking for someone who is highly organized and capable of quickly learning software systems. You will be someone who enjoys the challenge of making life more organized and efficient for the team you work with. The Personal and Administrative Assistant (“Assistant”) provides clerical and reception support to TherapyWorks, while also supporting the functioning and efficacy of the Clinical Director/ Owner.​Primary Responsibilities​Communication related tasks the Assistant will support office functions such as answer phones and emails, greeting clients and visitors, preparing documents, preparing internal communication structures.Scheduling related tasks including scheduling client appointments, coordinating Director/ Owner personal and professional appointments, managing room and resource schedules, managing general calendars, making travel arrangements for leaders.Organizational tasks maintain an organized work environment and assist the owner with organizational tasks, filing documents and maintaining databases, updating paper and electronic file systems, creating and using spreadsheets and data, developing onboarding materials and processes, maintaining privacy processes for business and client informationFinancial and bookkeeping tasks by submitting and reconciling invoices, processing client payments, recording and reconciling office expenses, maintain petty cash and team expense processes, entering invoices into third party funding portals.Miscellaneous administrative and personal assistant tasks such as assisting the owner with general organization in both the clinic office, purchasing supplies for the office, sorting distributing and responding to mail correspondence, creating efficiencies for the team within the electronic health record. ​Desired QualificationsWorks independently, demonstrates strong communication skills and develops collaborative working relationshipsStrong organizational skills but able to be flexible with changeUnderstanding of a variety of software programsIntermediate excel/ spreadsheet skills.Data entry experienceExperience with the Jane Electronic Health Record is an assetExperience with BC government invoicing portals is an assetOne year minimum commitment​Required QualificationsYou MUST be able to provide the following:Completion of an administrative assistant certificate and typing speed of a minimum 35 words per minute.Two work references that confirm the ability to work independently, work effectively a variety of software programs, and demonstrate work ethic through low absenteeism, professional communication with leaders.A Vulnerable sector criminal record check and clear driver’s abstract will be required prior to position start.Working knowledge and experience with a variety of computer software programs such as email software, google docs/ forms, Microsoft office applications.Reliable vehicle.Proof of Business Use car insurance will be required prior to position start.Completion of confidentiality agreement will be required prior to position start.​What we offer is a flexible, low key working environment. You will have the ability to collaboratively create a flexible work schedule with the Clinical Director/ Owner. You will have weekends and stat holidays off. The company has a health spending plan for access to additional health service coverage. This position provides 5 paid sick days per year, and a paid vacation period, each of which increases annually.
